If a staff member is assigned to more than one school in your SSO sync, MagicSchool handles each site independently. That person can hold a different role at each campus — for example, Site Admin at one school and Teacher at another. There is no single org-wide role applied across all sites a user belongs to.
⚙️ How It Works
Site-to-user mappings come directly from your Edlink data sync. When a staff member appears in more than one school's data, MagicSchool reflects all of those mappings and allows roles to be set on a per-site basis.
When assigning roles for a multi-site user, keep the following in mind:
Roles are assigned per site, not per user. A user can be a Site Admin for one campus and a Teacher at another — both assignments coexist independently.
Only Org Admins can assign the Site Admin role. They can upgrade a user's role for any site that user is already mapped to via Edlink.
Site Admins can also assign roles, but only for the sites they manage. A Site Admin cannot modify a user's role for a campus outside their own scope, even if that user is mapped to it.
📋 Requirements
Your organization must use SSO with site-level data sharing enabled through Edlink.
A user must already be mapped to a site in your Edlink sync before a role can be assigned for that site.
📝 Note: Site-to-user mappings cannot be created manually in MagicSchool.
👁️ What Site Admins Can Access
Regardless of how many sites a user is a Site Admin for, their access is always scoped to their assigned sites only. They can view and manage:
Users at their site(s)
Reporting for their site(s)
Rooms at their site(s)
⚠️ Site Admins do not have access to settings, data, or users at other sites, and they do not have org-wide admin access.
