District Knowledge lets your organization upload approved documents so MagicSchool can use them to generate more accurate, locally aligned responses across supported tools. Instead of relying only on general AI knowledge, MagicSchool searches your uploaded documents, finds the most relevant content, and uses it to ground responses in your district's actual materials.

For organization admins
Setting up Knowledge
Only Organization Admins can upload and manage Knowledge documents.
Open My Organization from your MagicSchool dashboard.
Select Knowledge from the navigation menu.
Click Add a document and upload a district-approved PDF.
Enter a clear document name that staff will recognize.
Wait for processing. MagicSchool reads, reviews, and indexes the document before it becomes available. This may take a few minutes.
Once processing is complete, the document is available across all supported MagicSchool Teacher Tools and Raina.
Managing your Knowledge documents
From the Knowledge area, you can upload new documents, replace an existing document with an updated version, rename a document, and remove a document. All document management is done manually. MagicSchool does not automatically sync changes to external files.
What to upload
Knowledge works best with documents that are widely applicable across your organization, stable and trusted, in PDF format, and in English. Non-English PDFs may upload successfully, but accuracy is not guaranteed.

Avoid uploading documents that are outdated, unofficial drafts, highly specific to one classroom or temporary initiative, duplicate versions of the same source, constantly changing, not in PDF format, or trademarked or copyrighted unless your district has clear rights to use them this way. Only upload documents your organization owns, has licensed, or is explicitly permitted to use.
Note: Uploaded documents are reviewed for safety before becoming available. Documents with content flagged for violence, hate speech, profanity, or other policy violations will not pass moderation.

Privacy and data governance
Each district's Knowledge documents are isolated to that organization's environment. Your content is private and is only used to generate responses for your organization's users. No other organization can access your uploaded materials. Documents go through a safety review before becoming active.
For teachers
Knowledge is on by default
When you open a supported MagicSchool tool or Raina, you'll see an option to enable or disable Knowledge in the chat input area. It's turned on by default.
When Knowledge is enabled, MagicSchool may automatically reference your district's uploaded documents when they're relevant to your request, and responses are more likely to reflect your district's specific curriculum, policies, and frameworks. You don't need to upload district documents yourself.
When you turn Knowledge off for a conversation, MagicSchool does not pull from your district's documents for that session. This only affects your current conversation and does not remove Knowledge for anyone else.
Seeing when Knowledge is used
When a response is grounded in your district's Knowledge documents, MagicSchool will indicate the source so you can see where the information came from and how it connects to your district's guidance.
How Knowledge fits with other document options
MagicSchool supports grounding responses in documents in three ways:

These options work alongside each other. A district can upload core frameworks into Knowledge for broad alignment, while teachers still upload specific documents into individual conversations when needed.
Frequently asked questions
Which tools support Knowledge? Knowledge is available in Raina and all standard MagicSchool Teacher Tools. Custom and Enterprise tools are not included in this release.
Can teachers upload their own documents to Knowledge? No, only Organization Admins can upload and manage Knowledge documents. Teachers can still attach documents to individual conversations using the standard prompt-level upload.
What happens if I upload a non-English document? Non-English PDFs may upload successfully, but accurate retrieval and interpretation is not guaranteed. English is the only fully supported language in this release.
Will Knowledge work for all teachers in my district automatically? Yes, once a document is processed, it becomes available across all supported tools for users in your organization. Teachers don't need to take any action to access it.
Can teachers see which documents are in our Knowledge base? Teachers can see when a response is grounded in Knowledge documents, but they do not have access to the admin document management area.
What if I need to update a document? You can replace an existing document from the Knowledge management area. Upload the new version and remove the outdated one. MagicSchool does not sync to external sources automatically.
Is my district's content shared with other organizations? No, each district's Knowledge is fully isolated to its own environment and is not accessible to any other organization.
